Turning WhatsApp Messages Into Tracked CRM Leads
Every WhatsApp message becomes a CRM lead with an AI reply, a booked call and a WhatsApp alert to the team — the system we run our own business on.
The Challenge
WhatsApp is where enquiries actually arrive, and it is the worst place to run a pipeline from. Messages sit in a personal inbox, context lives in one person's head, replies take hours out of the day, and nothing is tracked — so nobody can tell which enquiries turned into work.
Our Approach
Rather than bolt a chat widget onto a website, we put the automation where the customer already is. A message to the business number resolves to a lead record, goes to Claude with the full conversation history, and comes back as a reply in the brand's voice. Because every turn is written to the database, the WhatsApp thread and the CRM stay the same thing.
What We Built
The system looks up or creates the lead, sends conversation history plus the new message to Claude, delivers a context-aware reply over the Meta Cloud API, and saves the whole exchange to Supabase for CRM tracking. It books discovery calls in-chat and emails a calendar invite, sends the team alerts and a daily report over WhatsApp, and lets the team approve outbound drafts by replying to a WhatsApp message — no dashboard login needed.
